MISSION
The OCS Managing Director (MD) maintains daily administrative management of the organization and choruses, and participates in guiding OCS to a high professional level. The MD reports to the Artistic Director, working jointly with the Board of Directors to achieve this mission.

Estimated work time is approximately 10 hours per week, with significantly greater commitment during concert weeks.
This position is contractual beginning on August 1, 2023 and is renewable on an annual basis in line with OCS’ fiscal year.
Pay range is $750 - $1,000 per month and will be determined by experience and qualifications; benefits will not be available.

- Provide oversight of other chorus staff such as librarian, section leaders, etc.
- Disburse OCS’s monies and dispose of its property in fulfillment of its purpose, upon approval of an expenditure by the Board of Directors.
QUALIFICATIONS
Minimum
- 2 years experience in a relevant leadership position
- Bachelor’s Degree or equitable real world experience in the music and performing arts industry or non-profit operations and management.
- Advanced degree in Music Marketing or Business.
- Experience with nonprofit organizations, grant writing, and marketing.
- Membership with Chorus America or other large choral networking organizations.

Ensure that the following functions are completed in a satisfactory manner.
Weekly
- Chorus newsletter - Send weekly chorus communication during the concert season, to disseminate information about the rehearsal schedule, performance information, choir policies, and any additional information necessary so that the choir is informed and prepared for rehearsals and performances.
- OCS Website and Social Media Platforms – Ensure the OCS web site and Social Media platforms are updated with chorus information, concert information, photo gallery, and other information.
- Roster and attendance - Work with the section leaders to maintain a roster by section, with current e-mail addresses and other information, and track attendance. Organize and adjust seating arrangement, as needed.
- Rehearsal Space Set-up - Ensure that rehearsal room is unlocked at least 30 minutes prior to rehearsal, coordinate arrangement of chairs, collect lost and found items, and lock up after rehearsal.
- Supervise and coordinate administrative staff/volunteers (section leaders and librarian) to ensure that the choir members are prepared for rehearsal and performances.
Yearly (2-3 times per year)
- Budgets – Work with the AD, Treasurer and Chair to provide input to the budget for the OCS season, from July 1st through June 30th.
- Calendar and Rehearsal Schedule – Work with the AD to prepare a calendar for the chorus. The rehearsal schedule should then be published to the chorus and updated promptly with any changes.
- Accompanist - Provide the rehearsal schedule to the accompanist, and work with the accompanist to find a substitute when the accompanist is not available.
- Auditions - Coordinate and publicize auditions with the AD
- Rehearsal Space Reservations – Work with the rehearsal space vendor to obtain space for rehearsals, auditions and evaluations in preparation for the semester and/or season.
- Venues - Support the AD in selection and procurement of venues for the concert season. Coordinate with the venue personnel to arrange rehearsal times, concert parking, and other concert requirements.
- Tickets – Oversee the acquiring and distribution of tickets to donors and soloists, as part of the Donor, Sponsor and Friends of OCS programs. Responsible for selling and distributing tickets to chorus members.
- Borrowing and Transporting of Instruments – When required, work with HSO and other sources to obtain and transport instruments for concerts and rehearsals.
- Concert logistics – Coordinate the chorus during concert rehearsals and performances to ensure the choir is informed of performance policies, schedule, requirements on the day of the concert, line up, and any additional concert requirements.
- Concert Marketing - Collaborate with partners (if applicable) to market concerts through multiple modes, including website, social media, newsletter blasts, radio, print, etc.
- Uniforms – Supervise obtaining and distribution of required uniforms for chorus members.
As-Needed
- Contracts – Prepare and/or sign contracts with concert musicians, concert venues, concert soloists, rehearsal hall, rehearsal accompanists, storage space contractors, and other staff and resources, with fiscal approval by the Board of Directors.
- Music scores - Consult with the AD to order music scores and instrumental parts to be distributed to the chorus and orchestra members by the librarian staff.
- Special events – Work with the Membership committee to facilitate special events for the chorus, such as open houses, retreats, potlucks, and tours, when required.
Engage with Partnership Development
- Community Partnerships – Play an active role in establishing high quality relationships with members of the community, including the Hawai’i Symphony Orchestra, potential grant and donor participants, and other choral groups.
- Development – Work with the Development Committee and the Chair in fund-raising efforts, participating in strategy meetings, grant writing, and meeting with potential donors. Coordinate with Board of Directors to plan sponsor events pre/post concerts.
Assist with Financial Management and Non-Profit Compliance
- Member Dues and Scholarships - Assist Board of Directors in collection of annual member dues tracking and the tracking of scholarship requests.
- Tax Letters – Prepare letters as appropriate to donors, thanking them for their contribution. The Treasurer will track contributions and maintain a contributions database, to be distributed to the MD, the AD, the Chair, and to the Development Committee.
- Insurance – Work with the Board and the Treasurer to establish required insurance for liability, and officers’ liability.
- Board Member – Act as an ex-officio board member, preparing reports and attending monthly board meetings, but not voting.
- Annual Report – Prepare and present a report summarizing the year to the chorus members at the Annual Meeting held according to the Bylaws prior to the end of the fiscal year.
